The scale problem

Oil and gas projects routinely combine direct staff with hundreds or thousands of contractor and vendor personnel, often across multiple sites simultaneously. Managing that scale with the same tools used for a single-office workforce simply doesn't hold up.

The core challenge isn't headcount on its own — it's maintaining one accurate, current view of who is on site, under which contractor, doing what, at any given moment.

Verification before mobilization

Every worker mobilized to a high-risk site should be verified before deployment — identity, certifications, safety training and, where relevant, background checks. Skipping this step to save time on mobilization routinely costs far more later.

Standardising verification across every contractor supplying personnel, rather than trusting each vendor's own vetting, closes the most common gap in large contractor workforces.

Tracking attendance and welfare at scale

Manual sign-in sheets break down completely once a workforce crosses a few hundred people across multiple sites. Digital time and attendance, tied to a central workforce record, is what makes accurate headcount and welfare tracking possible at scale.

This matters beyond payroll accuracy — in an emergency, knowing exactly who is on site and where is a safety requirement, not just an administrative one.

Keeping contractors accountable

Contractor management works best when every contracted worker sits inside the same workforce system as direct staff, rather than in a separate spreadsheet the client barely sees. It gives operations leaders one place to check compliance, attendance and deployment status across every vendor.

Clear escalation paths — who is accountable when a contractor's documentation lapses, or an attendance record doesn't reconcile — should be agreed before mobilization, not worked out after an incident.
